Terms for customers and inspection participants

These terms are written to support trustworthy business use of Auto Portal, including responsible WhatsApp messaging, inspection records, and data handling.

These Terms and Conditions apply when you access this website, contact Auto Portal, use the Auto Portal platform, or participate in an Auto Portal vehicle inspection workflow. Customer contracts, order forms, or data processing terms may add more specific terms.

About the service

Auto Portal provides software for vehicle inspection capture, workflow management, and business review. It supports decisions by insurers, brokers, fleets, repairers, dealers, workshops, and other vehicle-facing companies.

No insurance or repair advice

Auto Portal provides software and records. It does not issue insurance policies, make underwriting decisions, assess liability, provide legal advice, perform repairs, or guarantee the outcome of any claim, booking, inspection, or commercial decision.

Customer responsibilities

Business customers are responsible for configuring workflows lawfully, inviting the right people, obtaining required permissions, keeping account details accurate, reviewing records appropriately, and making their own business decisions.

Inspection participant responsibilities

People completing inspections must provide accurate information, only submit photos they are allowed to share, avoid misleading submissions, and follow safety rules when capturing vehicle photos or details.

WhatsApp Business requirements

Where Auto Portal uses WhatsApp Business services, customers must have the necessary opt-in permissions, honour opt-out requests, use approved templates where required, keep support paths available, and comply with WhatsApp and Meta rules.

Acceptable use

You must not use Auto Portal for unlawful, fraudulent, misleading, discriminatory, harmful, spam, security-abusive, or rights-infringing activity. You must not upload malware, interfere with the service, or attempt unauthorised access.

Sensitive information

You must not request or submit unnecessary sensitive information through inspection workflows, including full payment card numbers, full financial account numbers, or other sensitive identifiers unless a specific lawful basis and approved process applies.

Accounts and security

Authorised users are responsible for keeping login details confidential, restricting access to approved users, promptly reporting suspected compromise, and using Auto Portal only for legitimate business purposes.

Customer content and inspection records

Customers and inspection participants keep the rights they have in submitted content. They grant Auto Portal the rights needed to host, process, display, transmit, secure, support, and improve the services in line with contracts and law.

Privacy and data protection

Auto Portal handles personal information according to the Privacy Policy and any applicable customer data terms. Customers remain responsible for notices, permissions, retention instructions, and lawful use of inspection data in their own business.

Third-party services

Auto Portal may rely on hosting, communications, analytics, support, payment, and messaging providers, including WhatsApp and Meta where applicable. Third-party services may be subject to their own terms and availability.

Service availability and changes

We work to provide a reliable service, but availability can be affected by maintenance, internet access, third-party providers, customer configuration, force majeure, and security needs. We may improve, modify, suspend, or discontinue features.

Fees, subscriptions, and orders

Commercial terms, fees, billing intervals, service scope, usage limits, and implementation obligations may be set out in a separate proposal, order form, subscription agreement, invoice, or customer contract.

Intellectual property

Auto Portal and its licensors own the software, designs, workflows, documentation, templates, brand assets, and technology used to provide the service. No rights are transferred except those expressly granted in writing.

Disclaimers and liability

To the fullest extent permitted by law, Auto Portal is provided without guarantees of uninterrupted operation, error-free results, or business outcomes. Liability is limited as set out in the applicable customer contract or, where none exists, by applicable law.

Suspension and termination

We may suspend or terminate access if there is non-payment, security risk, unlawful use, policy breach, misuse of WhatsApp or Meta services, or activity that may harm Auto Portal, users, customers, or third-party providers.
